The Events Coordinator supports the Events Team in the planning and execution of multiple small and large scale events annually. He/She plays a critical role in event logistics, administrative coordination, vendor communication, and execution of leadership directives to ensure all events meet our high standards. Success in this role is demonstrated through strong organizational skills, attention to detail, and the ability to coordinate multiple projects efficiently.

Job Responsibilities

Event Execution and Logistics
  • Support the planning and execution of all events, ensuring seamless coordination of logistics, schedules, and resources
  • Assist in venue selection, vendor management, catering coordination, and audiovisual setup to ensure a high-quality experience
  • Oversee the set-up, registration, and attendee experience, ensuring smooth operations during events
  • Manage event supply inventory, shipments, and on-site material distribution.
  • Serve as a point of contact for vendors, staff, and event attendees, ensuring all details are executed according to plan

Communication and Influencing
  • Maintain clear and consistent communication with internal teams, vendors, and event stakeholders
  • Work closely with cross-functional teams, including marketing, sales, and operations, to align event goals and promotional strategies
  • Address real-time event challenges with professionalism and problem-solving skills, ensuring a positive experience for all attendees
  • Provide support to speakers, VIP guests, and attendees to enhance engagement and brand experience

Administration and Reporting
  • Assist in budget tracking and financial reconciliation for event-related expenses
  • Maintain event timelines, checklists, and planning documents to ensure smooth execution
  • Prepare post-event reports, attendee feedback summaries, and improvement recommendations for future events
  • Support the leadership team by implementing assigned tasks, ensuring alignment with strategic event objectives

Job Requirements
 
  • Bachelor’s degree in Event Management, Hospitality, Business, Marketing, or related field preferred
  • 2+ years of experience in event coordination, hospitality, or related fields
  • Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills, with the ability to work collaboratively across teams
  • Proficiency in Microsoft Office, event management software, and project tracking tools
  • Ability to work flexible hours, including evenings and weekends, as needed for events
  • Strong problem-solving skills and adaptability in fast-paced event environments

Compensation: Salary + Performance-Based Bonus, Comprehensive Benefits Package. Final compensation will be determined based on experience and skills and may vary from the range listed above.
