The Executive Assistant delivers efficient administrative support in a well-organized and timely manner. He/She works closely with executives, handling various tasks to streamline their work and communications. The Executive Assistant provides personalized assistance, ensuring smooth operations, and effective communication. He/She manages schedules and correspondences, organizes meetings, coordinates end-to-end projects, and maintains confidentiality.
Job Responsibilities
Calendar and Schedule Management:
Efficiently manage and coordinate the CEO's schedule, including meetings, appointments, and travel arrangements
Prioritize and schedule appointments, ensuring optimal use of the executive's time
Communication Hub:
Act as the primary point of contact between the CEO's office and internal/external stakeholders
Manage and respond to emails, calls, and inquiries on behalf of the executive
Travel Coordination:
Arrange and coordinate domestic and international travel, accommodations, and logistics
Ensure travel plans align with the executive's preferences and business requirements
Documentation and Reporting:
Prepare and edit correspondence, communications, presentations, and other documents as needed
Compile data and generate reports as required by the executive
Meeting Support:
Prepare agendas, take meeting minutes, and distribute relevant documents
Coordinate logistics for both in-person and virtual meetings
Task Facilitation:
Assist in prioritizing tasks and delegate responsibilities to the appropriate team members
Follow up on delegated tasks to ensure completion within set timelines.
Confidentiality Management:
Handle sensitive information with the utmost discretion and confidentiality.
Job Requirements
Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office
Proficiency in English
Project Management methodology knowledge is ideal; exemplary planning and time management skills are required
Experience utilizing Click Up is ideal
Up to date with advancements in office gadgets and applications
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality
Bachelor’s degree in Business, Communication, Marketing or similar preferred
High School degree required; additional qualification as personal assistant would be considered an advantage
Compensation: Salary + Performance-Based Bonus, Comprehensive Benefits Package. Final compensation will be determined based on experience and skills and may vary from the range listed above.
